Xero vs QuickBooks vs FreeAgent for STL Operators: A Sector-Specific Comparison

In short: MTD-compliant is the floor, not the ceiling. For an STL operator, the accounting software choice comes down to how well it handles multi-platform booking income, per-property P&L, and the specific expense categories that matter post-FHL. This piece is a sector-specific comparison of Xero, QuickBooks and FreeAgent.
Software choice is not the biggest tax question an STL operator faces. It is, however, the operational decision they make most often on the wrong basis. This piece walks through the three most common cloud accounting tools we see in the sector and how they compare on the criteria that actually matter.
The criteria that matter for STL specifically
Every cloud accounting tool sold in the UK now claims MTD compliance and integrates with common banks. That is table stakes. For an STL business, the criteria that actually differentiate are:
- Multi-platform booking income import. Can it ingest Airbnb, Booking.com and Vrbo data cleanly, with per-stay granularity, gross booking value, and separately-identified platform fees?
- Per-property P&L. Can you filter every report by property without duplicating chart-of-account entries?
- VAT treatment. Does it handle the specific VAT treatment of platform fees, cleaning fees and (from October 2026) the Welsh visitor levy correctly out of the box?
- MTD ITSA quarterly submission. Not just VAT MTD - the newer ITSA regime as well.
- Fixed asset register per property. Because CGT on eventual disposal starts from the property-level base cost.
- Cost against the useful features you get.
Xero
Strengths. Genuinely strong at multi-entity / multi-property portfolios. Xero's tracking categories work well as per-property dimensions on transactions - the equivalent of a P&L slice for each unit. Where an operator runs multiple properties through a single Ltd company, tracking categories give a clean per-property view without needing separate Xero files. Where properties are held in separate SPVs, each entity can have its own Xero file managed centrally through Xero Practice Manager.
Third-party integrations for the STL sector are the best in the market. Tallybreeze (formerly BnbTally) connects Airbnb and Vrbo to Xero cleanly, handling reservation-level accruals, reconciliation and platform fee separation.
Weaknesses. Not the cheapest at the entry level. The tracking category limit on the Starter plan (two categories) is not enough for most operators - you need the Standard plan or higher for real STL use.
Best for. Multi-property operators (three or more units) and portfolio landlords.
QuickBooks Online
Strengths. QuickBooks Online's class and location dimensions work similarly to Xero tracking categories - persistent tags on every transaction that enable filtered P&L reports by property without duplicating chart-of-account entries. Tallybreeze also integrates with QuickBooks.
Interface is arguably more approachable for operators doing their own day-to-day bookkeeping with an accountant reviewing quarterly.
Weaknesses. Multi-currency support is weaker than Xero, which matters if you are taking bookings via European platforms priced in Euros. Class-based reporting is functional but less flexible than Xero tracking category reporting for cross-cutting analysis.
Best for. Single-property and two-property operators who want to do more of the day-to-day themselves.
FreeAgent
Strengths. Excellent MTD compliance, clean interface, good landlord features. Free with certain NatWest / Royal Bank of Scotland business accounts, which is a real cost saving.
Weaknesses. Not designed for portfolio landlords beyond the simplest cases. Per-property tracking works for one or two units but strains at four or five. Third-party integrations for STL specifically are weaker than Xero or QuickBooks.
Best for. Single-property operators, particularly those with an eligible NatWest / RBS business account, who want a simple monthly bookkeeping workflow.
What we recommend, by portfolio shape
- One property, direct on Airbnb, no VAT. FreeAgent (particularly if free through your bank).
- One to two properties, multi-platform. QuickBooks Online with a Tallybreeze integration, or Xero Standard.
- Three to ten properties, single legal entity. Xero Standard with tracking categories per property, Tallybreeze integration for multi-platform income.
- Portfolio of ten-plus, or multi-entity structure. Xero across multiple files or Xero + SPV structure, managed through Xero Practice Manager.
Two features that surprise operators when they see them working
Reservation-level accruals. Airbnb payouts arrive after check-in but the income is earned when the stay happens. A proper integration accrues the booking income at the stay date and matches the payout against it, rather than dumping the whole payout in as one line at payout date. This matters for month-end management accounts, and it matters for VAT registration threshold calculations.
Bank rules that separate cleaning fees from cleaner costs. A guest cleaning fee is income. A cleaner's payment is an expense. Both show as "cleaning" on a naive chart of accounts. A properly set up software file separates them - which is the difference between meaningful management information and noise.
What operators should do
- Do not choose software on price alone. The £15-a-month saving on a smaller plan is nothing next to the cost of manual reconciliation work every quarter.
- Do not let a generalist accountant put you on their preferred software if it does not fit STL specifically. Some generalist firms push clients into their own preferred tool for their own workflow reasons.
- Turn on per-property tracking from day one. Retrofitting historic data is possible but tedious.
- Pilot a third-party platform integration for at least one month before committing. Some work brilliantly for some operators and awkwardly for others depending on how the properties are set up on the platforms themselves.
Software is not the biggest decision an operator makes. It is, however, the one that quietly determines how much time everything else takes.
